Policies
Policies
Privacy and Cookie policies are effective 1 September 2026. The other four documents remain effective 30 August 2026. Six documents govern your relationship with Automix AI. This page says what each one is for, so you can go to the right one instead of reading all six.
Two subjects live here rather than in a document of their own — our accessibility statement, and how to report a security problem. Everything else on this page is a summary that links to the text that actually binds. Where a summary here and a policy there ever disagree, the policy wins; that is not a disclaimer, it is how we keep one number from being maintained in two places.
The documents
Which one you want
- Terms & Conditions — the agreement itself. Who may open an account, what you may and may not do, how buying works, who owns what, the limits of our liability, and how an account ends. Read this one if you are about to buy.
- Privacy Policy — what personal data we hold, every company that receives it, how long we keep it (including where we have no automatic deletion), the rights you have and exactly what happens when you exercise them, and the security controls we do and do not have. The longest document, and the one with the fewest hedges.
- Cookie Policy — the one cookie we set, and the two places another company's cookies appear. Short, because there is genuinely little to say.
- Refund Policy — the trial, the window in which you can change your mind, what happens if something we advertised does not work, what is not refundable and why, and how long each step takes.
- Fair Use Policy — the rules for messaging: consent, prohibited content, the limits of the four regulated-adjacent workspaces, and what happens if the rules are broken. Part of the Terms. Read this one before your first campaign, because most of it protects your WhatsApp number.
- Our Guarantee — the commitments from the documents above gathered in one place, alongside a plain list of what we do not guarantee.
At a glance
The four things people usually came here to check
- Do you sell my data? No — not to advertisers, not to data brokers, and your customers' conversations are never used to train AI models. The full list of companies that do receive data, and why each one does, is in the Privacy Policy.
- Will I be charged automatically? No. Nothing renews on its own and no card is kept on file. (Terms)
- Can I get a refund? Yes, in defined situations, and the Refund Policy names each one with its timings rather than leaving it to discretion.
- How do I get my data out or deleted? Email us; the Privacy Policy sets out what we can do, what happens in each case, and how long it takes.
Accessibility
Accessibility statement
We want Automix to be usable by everyone who needs it, including people using a screen reader, a keyboard rather than a mouse, magnification, or reduced-motion settings.
What we do. Pages are built from semantic HTML with headings in a real hierarchy, a skip link to the main content, visible keyboard focus, text alternatives on meaningful images, form fields with associated labels, and colour contrast checked against the WCAG 2.2 AA thresholds when we choose a palette. Animation respects the operating system's reduced-motion setting.
What we are not claiming. We have not commissioned an external accessibility audit and we do not claim formal WCAG conformance. Making that claim without an audit behind it would be a slogan rather than a fact. The areas most likely to fall short today are the data-dense parts of the signed-in product — tables, charts and the campaign builder — where complex interactions are harder to get right than in a page of text.
If something blocks you, tell us at vivek@automixai.in with “Accessibility” in the subject, describing the page and what you were trying to do. We treat these as defects rather than requests, we will tell you what we can do and by when, and if it takes time we will offer another way to get the task done meanwhile.
Security
Reporting a security problem
If you believe you have found a vulnerability, email vivek@automixai.in with “Security” in the subject. Include what you found and how to reproduce it. We acknowledge within 2 working days.
Our undertaking to you. We will not pursue or threaten legal action against anyone who reports a genuine issue in good faith, keeps it confidential until it is fixed, and does not access, alter or destroy other people's data while investigating. We will tell you when it is fixed and credit you if you want to be credited.
What we ask. Do not run load or denial-of-service tests, do not use another customer's account, and do not extract personal data — demonstrate that access is possible and stop there.
Which security controls exist and which do not is documented in the Privacy Policy, including the ones we have not built yet. If a breach puts customer data at risk, we tell the affected customers rather than waiting to be asked.
Maintenance
How these documents are kept true
These policies live in the same repository as the software they describe. The intention, and the standard we hold ourselves to, is that a change to the code which makes a sentence here untrue changes that sentence in the same commit — because a policy that lags the software by a release is not an out-of-date document, it is a false statement with a date on it.
Each document carries its own effective date. Material changes are emailed to account holders before they take effect, and the Terms give 30 days' notice for changes that materially affect your rights or costs.
These documents were substantially rewritten on 30 August 2026, replacing earlier drafts that were marked as pending review and were not enacted. The rewrite was carried out by checking each statement against the software rather than against a template, which is why several sections state limitations — no automatic retention purge, no two-factor authentication, no security certification — that a template would have omitted.
Questions
Straight answers
Which document actually binds me?
The Terms & Conditions, which incorporate the Fair Use Policy and the Refund Policy, plus any written plan agreement. The Privacy and Cookie policies describe what we do with data. This page is a map and binds nothing on its own.
Are these reviewed by a lawyer?
They are written against the software rather than from a template, and every factual claim in them was checked against the code before publication. They are enacted policies that we hold ourselves to. If your procurement process needs counsel-reviewed contract terms for a larger agreement, ask and we will work through it with you.
Do you have an accessibility conformance report?
No. We follow the practices listed above and check contrast against WCAG 2.2 AA, but no external audit has been carried out and we will not claim a conformance level we have not tested. If a barrier stops you using something, report it and we treat it as a defect.
Where do I report a security issue?
vivek@automixai.in with "Security" in the subject. We acknowledge within 2 working days and will not pursue anyone who reports a genuine issue in good faith without exploiting it.
